Note: Project Manager (preview) is currently rolling out to customers. Learn more about it in Frequently asked questions about Project Manager.

Project Manager (preview) is a valuable teammate that can help you get work done by executing tasks that it is assigned to.

Assign Project Manager to tasks

The first step in executing tasks with the project manager is to assign the agent to the relevant tasks, which can be done in either Project Manager or Board view.

Project Manager view

To assign individual tasks to Project Manager

Select the Assign this task icon on any task, and then choose Project Manager. The project manager will begin execution on the selected task

To assign all tasks to Project Manager

Select Assign to Project Manager in the top right of the Kickoff tasks section. The project manager will be assigned to every task and execution will begin.

Board view

To assign tasks to Project Manager in the Board view

  1. Select Group by Project Manager in the top right corner of the Board view.

  2. Select the Assign this task icon on any task and choose Project Manager or drag the task card into the Draft with Project Manager bucket.

  3. The project manager will begin working on the selected tasks

Track Project Manager’s progress on tasks

After assigning tasks to the project manager, it’s simple to track its latest progress. There are 4 states that the project manager can be in while assigned to a task:

  1. Queued – the project manager is assigned to the task, but not yet begun work as it's currently executing on another task.

  2. In progress – the project manager is actively working on this task.

  3. Needs input – the project manager doesn’t have enough information to complete the task and needs some additional information.

  4. Done – the project manager has completed the task and needs you to review the output. All agent output will be in a Loop component within task details.

Note: To allow users to maintain control over their plan, the project manager will never mark a task as complete, even after it’s finished with execution. Users will need to review the project manager's output and mark the task as complete manually.

These states are used across both Project Manager and Board view to allow you to track progress easily.

Project Manager view

In the Project Manager view, after assigning at least one task to the project manager, you’ll see a section titled Recent activity from Project Manager. This section will stay up to date with the project manager’s progress on every task. From here, you can click into task details to see the agent’s latest work.

Project Manager view

Board view

In the Group by Project Manager view, there are two main ways to understand the agent’s current state on a task.

  1. Project Manager labels – these labels are equivalent to the four states mentioned above and the agent will update them as it progresses on tasks.

  2. Group by Project Manager buckets – after selecting Group by Project Manager, you’ll see four unique project manager buckets. As the agent progresses on tasks, it will move them through these buckets as follows:

    1. Not assigned to Project Manager – these tasks are not assigned to the project manager and it will not work on these tasks.

    2. Draft with Project Manager – these tasks are assigned to the project manager and are either in progress or queued.

    3. Needs your input – the project manager doesn't have enough information to complete the task and needs some additional information.

    4. Project Manager results ready - the result of the project manager execution is ready and needs your review of the output. All output will be in a Loop component within task details.

Providing Input

When the agent feels it doesn’t have enough information to complete the tasks, you'll need to provide the necessary information for the agent to continue execution. To do this:

  1. Click into the task details for the appropriate task. The project manager will have left a set of questions that it needs answers to in the Loop component within task details.

  2. Type your answer to the questions directly in the Loop component

  3. After answering all questions, select Regenerate.

  4. The task will move back into the Draft with Project Manager bucket and into either Queued or In progress state.

  5. The project manager will take your responses into account when executing on the task again.

Give Project Manager feedback

After the agent has completed a task, you can provide feedback on the output, so it matches your expectations. For example, you may ask the agent to shorten its output, make the tone more professional, or add additional details.

  1. Click into the task details for the task you would like to provide feedback on.

  2. Leave feedback for the agent directly in the Loop component within task details. You can do this by:

    1. Leaving a comment

    2. Typing directly into the Loop component

  3. Select Regenerate.

  4. The task will move back into the Draft with Project Manager bucket and into either queued or in progress state.

  5. The project manager will take your feedback into account and generate an updated output.
