Use a screen reader to check and share your form or quiz results in Microsoft Forms

This article is for people who use a screen reader program such as Windows Narrator, JAWS, or NVDA with Windows tools or features and Microsoft 365 products. Use Microsoft Forms with your keyboard and a screen reader to check and share the results of a form or quiz. We have tested it with Narrator in Microsoft Edge and JAWS and NVDA in Chrome, but it might work with other screen readers and web browsers as long as they follow common accessibility standards and techniques. You'll learn how to access and review the response summary or the detailed results for each question or respondent. You'll also learn how to share the results with others and export the results data to Excel.

Check the response summary

To get an overview of the form or quiz responses, you can check the information in the response summary.

  1. Open the form or quiz where you want to check the response summary.

  2. In the form or quiz, press the Tab key or Shift+Tab until you hear "Questions tab," and then press the Down or Right arrow key once. You hear "Responses received," followed by the number of responses. Press Enter to select.

  3. To check the summary, do one of the following:

    • To have Narrator read the entire summary page out loud from the top of the screen onward, press the SR key+W. To read each item in the summary one by one, use the Down arrow key or the SR key+Right arrow key.

    • To have JAWS or NVDA read the summary page out loud from the top of the screen onward, press the SR key+Down arrow key. To read each item in the summary one by one, use the Down arrow key.

  4. To exit the summary page, press the Tab key or Shift+Tab until you hear "Responses received," followed by the number of responses, and then press the Up or Left arrow key once. With Narrator you hear: "Tab item, one of two, questions." With JAWS and NVDA you hear: "Questions tab." Press Enter to select. The focus returns to the form or quiz.

Check the detailed results for a question

You can check how each respondent has answered a certain question.

  1. Open the form or quiz where you want to check the details for a question.

  2. In the form or quiz, press the Tab key or Shift+Tab until you hear "Questions tab," and then press the Down or Right arrow key once. You hear "Responses received," followed by the number of responses. Press Enter to select.

  3. To navigate to the question whose response details you want to review, do one of the following:

    • With Narrator, use the Down arrow key or the SR key+Right arrow key.

    • With JAWS or NVDA, use the Down arrow key.

  4. When the focus is on the right question, press the Tab key once. You hear: "More details, button." Press Enter to select. The response details are displayed in a new window as a table.

  5. To navigate the response details, do one of the following:

    • With Narrator, use the Down arrow key or the SR key+Right arrow key.

    • With JAWS or NVDA, use the Down arrow key.

  6. To exit the details window, press Shift+Tab until you hear "Close button," and then press Enter.

Check response data for a respondent

You can review all response details for each respondent separately.

  1. Open the form or quiz where you want to check the response data for a respondent.

  2. In the form or quiz, press the Tab key or Shift+Tab until you hear "Questions tab," and then press the Down or Right arrow key once. You hear "Responses received," followed by the number of responses. Press Enter to select.

  3. Do one of the following:

    • In a form, press the Tab key until you hear "View results," and then press Enter.

    • In a quiz, press the Tab key until you hear "Review answers," and then press Enter.

  4. Press the Tab key until you hear the name of a respondent whose data is currently displayed, and then press Spacebar.

  5. Press the Up or Down arrow key until you hear the name of the respondent whose responses you want to check, and then press Enter.

  6. To navigate and review the responses, do one of the following:

    • With Narrator, use the Down arrow key or the SR key+Right arrow key.

    • With JAWS or NVDA, use the Down arrow key.

  7. To return to the summary page, press the Tab key or Shift+Tab until you hear "Back, button," and then press Enter.

Export the results to Excel

To effectively filter and sort the form or quiz results data, you can export the results to an Excel worksheet.

  1. Open the form or quiz whose data you want to export to Excel.

  2. In the form or quiz, press the Tab key or Shift+Tab until you hear "Questions tab," and then press the Down or Right arrow key once. You hear "Responses received," followed by the number of responses. Press Enter to select.

  3. Press the Tab key until you hear "Open in Excel," and then press Enter. The file is downloaded to your computer.

  4. To open the file, do one of the following:

    • To move the focus to the Downloads banner in your web browser, press Ctrl+J. Press the Down arrow key until you hear the name of the file you want, and then press Enter.

    • To open Windows Explorer, press the Windows logo key+E. Navigate to the file in the Downloads folder, and then press Enter.

The file opens in Excel in the read-only mode. For information on how to analyze the form or quiz results in Excel, refer to the "Analyze form results in Excel" section in Check and share your form results or to the "Analyze your quiz results in Excel" section in Check and share your quiz results.

Share the results with others

If a form or quiz is shared with specific people in an organization or school, only the form or quiz owner can create a summary link for a form or quiz if one doesn’t yet exist. Coauthors can copy and share the summary link. In other collaboration modes not set for specific people in an organization, coauthors can create new summary links.

  1. Open the form or quiz that you want to share.

  2. In the form or quiz, press the Tab key or Shift+Tab until you hear "Questions tab," and then press the Down or Right arrow key once. You hear "Responses received," followed by the number of responses. Press Enter to select.

  3. Press the Tab key until you hear "More options for responses," and then press Enter.

  4. Press the Down arrow key until you hear "Share a summary link," and then press Enter. You hear the link URL.

  5. Press the Tab key until you hear "Copy link," and then press Enter. The link is copied to the clipboard.

  6. Paste the link, for example, to a Microsoft Teams channel or an email message.

Note: If you share your form or quiz responses with anyone in your organization or school, and then decide to share it with only specific people in your organization or school, any summary sharing link that already exists can still be accessed by anyone inside or outside of your organization or school.

Stop sharing the results

You can delete an existing summary link to disable it, which will limit access to the response data.

  1. Open the form or quiz whose results you want to stop sharing.

  2. In the form or quiz, press the Tab key or Shift+Tab until you hear "Questions tab," and then press the Down or Right arrow key once. You hear "Responses received," followed by the number of responses. Press Enter to select.

  3. Press the Tab key until you hear "More options for responses," and then press Enter.

  4. Press the Tab key until you hear "Remove link," and then press Enter to select. You're prompted to confirm removing the link. To confirm, press the Tab key until you hear "Remove link," and then press Enter.
