Microsoft Forms includes rich, real-time analytics that provide response summary information and individual results for surveys and other types of forms. You can export the results to Microsoft Excel for more in-depth analysis, as well as delete or print a summary of responses.

View response summary information for your form

In Microsoft Forms, open the form for which you want to review the results, and then select View responses.View responses button will show a badge with the number of responses received.

The Responses Overview screen displays summary information about your form, such as number of responses and average time it took for respondents to complete your form. Each question box displays the number of responses. More details links display details of individual responses.Responses overview shows a summary of answers with More details links to help you explore details of each answer.

Select More Details at individual questions to reveal more details for that question. You can sort the response results by selecting a column header.

You can also select the name of the respondent to jump to the results of a another respondent.

View a drop down list of respondents in Microsoft Forms

Note: If you have more than 50 respondents, scroll down to the bottom of the drop down list and select Show more respondents to see remaining responses.

Search for an individual response by entering the number (e.g. 25) in the Respondent field that's associated with that response.

Tip: Searching for an individual response by the identification (ID) number associated with it is especially helpful when responses are collected anonymously. The respondent ID is exclusive for each response, which can be found in the first column of your workbook if you export your responses and open them in Excel.

View form results in an Excel workbook

You can easily view all of the response data for your form in Microsoft Excel. From Responses Overview, you can Open results in Excel to capture a snapshot of your current response data in a workbook.

Select the drop down arrow next to Open results in Excel to Open in Excel Desktop as a preview, or Download a copy.

  • This feature is not available in the mobile site yet.

  • If you select Open results in Excel, your Excel workbook will be automatically stored in OneDrive for work or school and contains a live data connection to your form. Any new response data in your form will be reflected in your workbook. The workbook will be automatically opened in Excel for the web. 

  • If you select Open in Excel Desktop, your Excel workbook will be automatically stored in OneDrive for work or school and contains a live data connection to your form. Any new response data in your form will be reflected in your workbook. The workbook will be automatically opened in Excel desktop.  It is available to all Current Channel Excel users running Version 2410 (Build 16.0.18227.20000) or later. You can check which version you’re using by going to File > Account in Excel. If you are using an earlier version, we recommend updating your Excel app to take full advantage of this feature. Mac users can also look forward to this feature in an upcoming update.

  • If you select Download a copy, an offline Excel workbook will open that has no relationship or connection to your form.

Analyze form results in Excel

In your Excel workbook, details of each question in your form are represented in columns and each response is shown in a row. The first five columns display respondent ID, start and completion times for each response, and the name and email address of each respondent. The subsequent columns display that respondent's selections.

Notes: 

  • The respondent ID is exclusive for each response in your form. You can find individual responses and their corresponding respondent IDs by selecting View results on the Responses Overview screen of your form.

  • Any changes you make to your workbook won't modify the content of your form.

  • Names and email addresses won't be displayed if you allow your form to accept anonymous responses.

Share results with others

  1. Select Responses Overview.

  2. Select More options for responses More options button > Share a summary link.

  3. Select Copy.

When you paste this link, anyone that has the link will be able to view a summary of responses for your form.

Notes: 

  • If you're using the mobile site, select Response Overview and select the arrow in the center. You'll be able to copy or email the link from there.

  • If you're collaborating on a form with specific people in your organization, only you, as the form owner, can create a summary link for your form if one doesn't yet exist. Co-authors can still copy and share your summary link, but can't create one themselves. In other collaboration modes not set for specific people in your organization, co-authors can create new summary links.

Delete a shared summary link

If you share your form responses with anyone in your organization, and then decide to share with only specific people in your organization, any summary sharing link that already exists can still be accessed by anyone inside or outside of your organization.

Deleting a summary link will permanently remove and cannot be reactivated.

Go View responsesResponse Overview > More options More options button > Share a summary link > Remove link.

Optional: You can then create a new summary link if you want to share it with a new audience, but this new summary link will still be accessible by anyone who gets a hold of it.
