How to use Copilot in a meeting 

Copilot can summarize key discussion points—including who said what and where people are aligned or disagree—suggest action items, and answer any questions you have, all in real time during or after a meeting. 

  • The meeting must be transcribed to enable Copilot, unless the meeting organizer sets up Copilot only during the meeting.

  • Copilot won't work in meetings that are hosted outside the participant's organization.

Set up meetings with Copilot

As a meeting organizer, you can decide how and if participants can use Copilot. Even if you don’t have a license, you're in control of Copilot for meetings you organize.   

Depending on your organization's policy, sensitivity label, and template settings, you can choose from the following values for the “Allow Copilot” meeting option: 

  • During and after the meeting: Transcription is required to use Copilot. Copilot starts as soon as the meeting begins transcribing. Selecting Copilot in the meeting controls will send a prompt to start transcription to use Copilot. Upon selecting “start”, Copilot and transcription will start for the meeting.

  • Only during the meeting: Copilot starts as soon as it’s selected in the meeting controls. Copilot uses speech-to-text data to provide insights about what is said in the meeting. If someone starts transcribing the meeting, Copilot will be available during and after the meeting for portions that were transcribed. After the meeting ends, speech-to-text data and interactions with Copilot will no longer be available.

  • Off: Copilot is turned off for the meeting. Recording and transcription are also unavailable for the meeting to prevent the access of sensitive information.

Catch up when you're running late

If you join a meeting where Copilot is on more than 5 minutes after it started, you’ll see a notification to get a summary. Select Open Copilot and wait for the summary to populate on the right side of your meeting window. 

Have a more effective meeting

Select  Copilot IconCopilot from the meeting controls to get started. Select View prompts below the Copilot compose box and choose from the following:

  • Recap the meeting so far.

  • List action items.

  • Suggest follow-up questions.

  • What questions are unresolved?

  • List different perspectives by topic.

  • List the main items we discussed.

  • Generate meeting notes.

  • Highlights from meeting chat. ​​​​​​​

You can also ask Copilot questions of your own. Here are some ideas:

  • Where do we disagree on this topic? 

  • How did [a meeting participant] respond to this proposal? 

  • What questions can I ask to move the meeting forward? 

  • Where are some holes in [a meeting participant's] argument? 

  • Create a table with the ideas discussed and their pros and cons. 

  • List the ideas, including people's feedback, from transcript and chat.

Wrap up a meeting with clear next steps

Copilot will send a prompt a few minutes before a meeting's scheduled end to help participants wrap up. Select Open Copilot to see a summary of key points of discussion and identify next steps, including tasks assigned to specific people. You can also ask Copilot if there are any unresolved issues or open topics from the agenda, or any other related questions that may help wrap up the meeting. 

How to use Copilot after a meeting

There are a few ways to access Copilot once the meeting is over: from the meeting chat and from the Recap tab.

From the meeting chat

Select  Copilot IconOpen Copilot in the upper-right corner of the chat. From here, Copilot provides comprehensive information and insights using what was written in the chat and spoken content captured in the meeting transcript. For example, asking “What ideas were discussed?” results in a response that incorporates both those ideas shared out loud and those shared in the chat. Copilot’s response will also cite which sources were used to provide the answer. ​ copilot entry from meeting chat

Before the meeting starts, you can use Copilot in the meeting chat thread, just like any other chat. Once transcription starts in the meeting, Copilot will include chat data from up to 24 hours before the meeting along with the transcript. As long as the transcript is available, Copilot will be able to use both chat and transcript as sources in the meeting chat. 

  • If Allow Copilot is set to “Only during the meeting” and no transcript is started, Copilot will only include information from the chat in the meeting chat.

  • If Allow Copilot is set to “Off”, Copilot will still be available and only include information from the chat in the meeting chat.

From the Recap tab

Copilot can also be accessed from the Recap tab in the meeting chat. Open Copilot IconCopilot to see the same conversation history with Copilot as the one accessed from the meeting chat. However, any previous conversation history with Copilot in a recurring meeting will no longer be available if a later meeting in the series is transcribed. If the transcript from a transcribed meeting is no longer available, all previous conversation history with Copilot will be removed. ​​​​​​​ Copilot in meeting recap revised

  • Intelligent recap is available as part of Teams Premium, an add-on license that provides additional features to make Teams meetings more personalized, intelligent, and secure. To get access to Teams Premium, contact your IT admin.

  • Intelligent recap is also available as part of the Microsoft 365 Copilot license.

Go deeper with these suggestions for prompts to try: 

  • Highlights from the meeting chat.

  • What questions were asked, answered, and unresolved?

  • What was the mood of the meeting? 

  • Summarize what people said, in a less technical way. 

  • Why did [a meeting participant] say that this idea was a good one? 

  • For each participant, what was the biggest concern? What were they most excited about? 

  • What ideas did [a meeting participant] have that I can share with the product team? 

  • Draft an email to the meeting participants that summarizes the meeting and includes the action items.
