Using Outlook, you can capture into your clipboard and then print a list of all event attendees, their associated email addresses, and their response status (attending, declined, or no response).

Select a tab option below for the version of Outlook you're using. What version of Outlook do I have?

Note: If the steps under this New Outlook tab don't work, you may not be using new Outlook for Windows yet. Select Classic Outlook and follow those steps instead.

Copy a list of attendees in new Outlook

  1. In Outlook Calendar, open the meeting Event containing the list of attendees you want to capture.

  2. The Tracking pane contains a list all invitees. 

    Note: Event organizers may need to select Tracking in the ribbon menu to open the Tracking pane. 

  3. From the Tracking pane, select More options  .

  4. From the drop-down list you can choose to copy just the attendee names or all details such as if they're required or option, and how they responded to the meeting request.

    • Copy attendee names This option will capture to your clipboard all invitee names along with their email addresses. The details are stored in format that you can paste into Word, Notepad, an email address field, another calendar invitation, or a Microsoft address list.

    • Copy all tracking information In addition to basic name and email information, this option captures whether the individual is a Required or Optional attendee along with their response status. The information is stored in a tab-delimited format. 

    • Download as CSV This option will allow you to download and save the details as a .csv file.

  5. With the selected information now placed in your clipboard, you can paste it into a suitable application such as Word or OneNote, or other storage destination according to your needs. 

Copy a list of attendees in classic Outlook

  1. Open the meeting request from the Calendar.

  2. On the Meeting or Meeting Occurrence menus, click Tracking > Copy Status to Clipboard.You can print a list of meeting attendees and their response status.

  3. Open Word or Notepad or a new email message, and then press Ctrl+V to paste in the tracking information.
