Use a screen reader to build a team in Project

This article is for people who use a screen reader program such as Windows Narrator, JAWS, or NVDA with Microsoft 365 products. Use Project for the web with your keyboard and screen reader to build a team. We have tested it with Narrator in Microsoft Edge, but it might work with other screen readers and web browsers as long as they follow common accessibility standards and techniques. You'll learn how to create a group of team members for a project or assign an existing group to the project.

Notes: 

  • New Microsoft 365 features are released gradually to Microsoft 365 subscribers, so your app might not have these features yet. To learn how you can get new features faster, join the Office Insider program.

  • When you use Project for the web, we recommend that you use Microsoft Edge as your web browser. Because Project for the web runs in your web browser, the keyboard shortcuts are different from those in the desktop program. For example, you’ll use Ctrl+F6 instead of F6 for jumping in and out of the commands. Also, common shortcuts like F1 (Help) and Ctrl+O (Open) apply to the web browser – not Project for the web.

Create a group for a project

You can create a group for your project in Project for the web. Before you create the group, decide whether it's a public group that anyone in your organization can join, or if it's a private group that has a limited number of people who can access the project.

Note: When you create a group in Project for the web, a new Microsoft 365 Group is created that can be used across Microsoft 365 apps. The group gets a dedicated email address, calendar, site, etc.

  1. In a project in Project for the web, press the Tab key or Shift+Tab until you hear "Add members to create a group, or choose an existing one," and then press Enter to open the group members menu. You hear: "Create group."

  2. Press the Tab key. You hear the project name. To define the group name and description, press Enter.

  3. To set the group name, press the Tab key. You hear: "Group name." Type the name you want. The default name is the project name.

  4. To add an optional group description, press the Tab key until you hear "Description," and then type the group description.

  5. To define whether the group is a private or a public group, press the Tab key until you hear: "Privacy." Press Spacebar, and then use the Up and Down arrow keys to move the focus to the group type you want. Press Enter to select.

  6. To add members to the group, press the Tab key until you hear: "Add members to create a group." Type the name of the first member. The search results are updated as you type. Use the Up and Down arrow keys to browse the results until you hear the name of the person you want to add, and then press Enter. Repeat this step for all the members you want to add.

  7. To create the group, press the Tab key until you hear "Create," and then press Enter. The group is created and assigned to the project.

Note: When a group is assigned to a project, it cannot be removed from the project.

Assign a group to a project

You can assign an existing Microsoft 365 Group to a project.

  1. In a project in Project for the web, press the Tab key or Shift+Tab until you hear "Add members to create a group, or choose an existing one," and then press Enter to open the group members menu.

  2. Press I until you hear "Add to a group, tab item," and then press Enter.

  3. To move to the group selection menu, press the Tab key. You hear: "Select group."

  4. To select a group, press Enter. The list of groups opens. Press I to browse the list until you hear the group you want, and then press Enter to select it.

  5. Press the Tab key. You hear: "Add." To add the group to the project, press Enter. All members in the selected group are added to the project.

Note: When a group is assigned to a project, it cannot be removed from the project.

Add or remove group members

  1. In a project in Project for the web, press the Tab key or Shift+Tab until you hear "See and invite members," and then press Enter to open the group members menu.

  2. Do one or both of the following:

    • To add a member to the group, type the name of the person you want to add. The search results are updated as you type. Use the Up and Down arrow keys to browse the results until you hear the name of the person you want, and then press Enter.

      Tip: To quickly add more people to the group, assign them a task within the project. This automatically adds them to the group.

    • To remove a member from the group, press the Tab key until you hear the name of the first person in the member list, and then press I until you hear the name of the member you want to remove. Press I until you hear "Remove member," and then press Enter.

      Note: When you remove a group member from Project for the web, they are removed from the Microsoft 365 Group too.

  3. To close the group members menu, press Esc.

Use Project Online with your keyboard and screen reader to build a team. Add a project member

  1. In the Project view of Project Online, press the Tab key until you hear “Project tab,” and press Enter.

  2. Press the Tab key until you hear “Build team button,” and press Enter. The Build Team page opens.

  3. The focus is placed on the table of resources selected for the project. You hear: “Selected resources table.” Press Ctrl+F6 to move the focus out of the table.

  4. To go to the table of available resources, press the Tab key until you hear: “Available resources.”

  5. To select a resource to add, press Ctrl+Alt+Right arrow key until you hear “Resource name,” and then browse the table rows with the Ctrl+Alt+Up arrow and Ctrl+Alt+Down arrow keys until you hear the name of the resource you want to add. Then navigate back to the checkbox column by pressing the Left arrow key, and select the check box by pressing Enter. You can select multiple resources at once.

  6. Press the Tab key until you hear “Add button,” and press Enter to add the selected resource or resources to the project.

  7. Press the Tab key until you hear “Save and close button,” and press Enter to save the project team and exit the Build Team page.

Remove a project member

  1. In the Project view of Project Online, press the Tab key until you hear “Project tab,” and press Enter.

  2. Press the Tab key until you hear “Build team button,” and press Enter. The Build Team page opens.

  3. The focus is placed on the table of resources selected for the project. You hear: “Selected resources table.”

  4. To select a resource to remove, press Ctrl+Alt+Right arrow key until you hear “Resource name,” and then browse the table rows with the Ctrl+Alt+Up arrow and Ctrl+Alt+Down arrow keys until you hear the name of the resource you want to add. Then navigate back to the check box column by pressing Left arrow and select the check box by pressing Enter. You can select multiple resources at once.

  5. Press the Tab key until you hear “Remove button,” and press Enter to remove the selected resource or resources from the project.

Replace a project member

  1. In the Project view of Project Online, press the Tab key until you hear “Project tab,” and press Enter.

  2. Press the Tab key until you hear “Build team button,” and press Enter. The Build Team page opens.

  3. The focus is placed on the table of resources selected for the project. You hear: “Selected resources table.”

  4. To select the resource to be replaced, press Ctrl+Alt+Right arrow key until you hear “Resource name,” and then browse the table rows with the Ctrl+Alt+Up arrow and Ctrl+Alt+Down arrow keys until you hear the name of the resource you want to add. Then navigate back to the checkbox column by pressing Left arrow and select the checkbox by pressing Enter.

  5. Press the Tab key until you hear: “Available resources.”

  6. To select a replacement resource, press Ctrl+Alt+Right arrow key until you hear “Resource name,” and then browse the table rows with the Ctrl+Alt+Up arrow and Ctrl+Alt+Down arrow keys until you hear the name of the resource you want to add. Then navigate back to the check box column by pressing Left arrow and select the check box by pressing Enter.

  7. Press the Tab key until you hear “Replace button,” and press Enter to remove the original resource from the project and replace it with the replacement resource.
