The Overallocation timephased field contains the amount of work that is overallocated for all assigned resources on a task, the total amount of work that a resource is overallocated on all assigned tasks, or the amount of work that a resource is overallocated on an assignment. These timephased fields show values distributed over time.

There are several categories of Overallocation fields.

How Calculated    The Overallocation field for a task is calculated as the sum of any overallocations for all resources assigned to the task. This is based on the amount of work assigned and work capacity, which is based on information in the resource calendar and the resource availability (dates and units) shown in the Resource Information dialog box.

Best Uses    Add the Overallocation field to the timephased portion of the Task Usage view to see how much work is overallocated for any assignments on the task for each time period.

Example    You're concerned that the resources assigned to the "Write proposal" task might be overallocated. You add the Overallocation field to the timephased portion of the Task Usage view. It shows that the assigned resources are overallocated on this task by four hours per day for the next four days.

How Calculated    Microsoft Office Project bases the Overallocation field on the total amount of work assigned to the resource and the work capacity, which is based on information in the resource calendar and the resource's availability (dates and units) shown in the Resource Information dialog box.

Best Uses    Add the Overallocation field to the timephased portion of the Resource Usage view to see how much work is overallocated for the resource in general, and for each of the resource's individual assignments for each time period.

Example    Sean says there is too much work to be done in the scheduled time. To check the details and find solutions, you add the Overallocation field to the timephased portion of the Resource Usage view. You see that Sean is indeed overallocated by two hours per day for the next two weeks.

Best Uses    Add the Overallocation field to the timephased portion of the Task Usage or Resource Usage view to see how much work is overallocated for a specific assignment for each time period.

Example    Sean is scheduled to work 10 hours per day for the "Develop estimate" task. Based on the resource calendar, Sean's regular work capacity is eight hours per day. You add the Overallocation field to the timephased portion of the Resource Usage view. It shows that across the next five days, Sean is overallocated on this task by two hours per day.
