Applies ToMicrosoft Lists

This article is for people who use a screen reader program such as Windows Narrator, JAWS, or NVDA with Windows tools or features and Microsoft 365 products. This article is part of the Accessibility help & learning content set where you can find more accessibility information on our apps. For general help, visit Microsoft Support.

Use Microsoft Lists with your keyboard and a screen reader to add or edit list items. We have tested it with Narrator, JAWS, and NVDA, but it might work with other screen readers as long as they follow common accessibility standards and techniques.

Add or edit a single list item

Add new list items to your lists using the Microsoft Lists desktop app. For instructions on installing the desktop app for Windows, go to Use a screen reader to create a list from the Microsoft Lists app.

There are two ways to add or edit a list item: by using a form to add or edit a single list item, or by using the grid view to make the changes inline to multiple list items at the same time. For instructions on using the grid view, go to Add or edit multiple list items by using the grid view.

Add a new list item

  1. Select the list you want to edit.

  2. Press the Tab key until with Narrator you hear: "Command bar, new." With JAWS, you hear: "Menu, new." With NVDA, you hear: "New, create a new list item in this location." Press Enter. The New item dialog box opens and the focus is in the title field.

  3. Type the title for the new list item.

  4. Press the Tab key to move to the next text field, and then type the value for that field. If a field must be filled in, you hear: "Required field."

  5. If you want to add an attachment to the item, press the Tab key until you hear "Attachments," and then press Enter. The Windows Open dialog box opens. Navigate to the file you want, and then press Enter to attach it. The focus moves back to the New item dialog box.

Note: If you don’t hear the attachments option, your list doesn't support attachments.

  6. Press the Tab key until you hear "Save," and then press Enter.

  7. The new list item is added to the bottom of the list, and the focus is on the New button. To add additional new list items, press Enter, and then repeat the steps starting from step 3.

Edit a list item

  1. Select the list that contains the list item you want to edit.

  2. Press the Tab key until you hear: "List of folders, files, or items."

  3. With Narrator, turn off the scan mode.

  4. Press the Tab key once. You hear the first list item. Press the Down or Up arrow key until you hear the list item you want to edit, and then press Enter. The list item opens in a dialog box.

  5. Press the Tab key until you hear "Edit all," and then press Enter.

  6. Press the Tab key until you hear the field you want to edit, and then type the new value.

  7. If you want to add a comment to the list item or tag someone, press the Tab key until you hear "Comment input," and then write the comment or tag someone. To tag a contact, type the At sign (@) and then start typing the contact’s name or email address. Suggestions are displayed as you type. Press the Down or Up arrow key to browse the suggestions, and then press Enter to select the contact. When you’re done writing the comment, press Enter to add the comment. The contact gets a notification email about the comment.

  8. Press the Tab key until you hear "Save," and then press Enter.

  9. To close the list item dialog box, press Shift+Tab once. You hear: "Close, button." Press Enter.

Add or edit multiple list items by using the grid view

You can use the grid view to quickly add or edit multiple list items at the same time.

  1. Select the list you want to edit.

  2. Do one of the following:

    • With Narrator, press the Tab key until you hear "Command bar, new," and then press the SR key+Right arrow key once. You hear: "Edit in grid view."

    • With JAWS, press the Tab key until you hear "Menu, new," and then press the Right arrow key once. You hear: "Edit in grid view."

    • With NVDA, press the Tab key until you hear "New, create a new list item in this location," and then press the Right arrow key once. You hear: "Edit in grid view."

  3. Press Enter. You hear: "Layout changed." Press Enter again. With Narrator, you hear: "Layout changed, table, enter table." With JAWS, you hear "Leaving menus," followed by the title of the first list item and the row and column number. With NVDA, you hear "Layout changed, main landmark," and then "Edit grid table." The grid view opens.

  4. With Narrator, turn off the scan mode.

  5. Press the Tab key or Shift+Tab to move between the fields. When on the field you want to edit, type the new value.

Tip: To undo an action, press Ctrl+Z. To redo an action, press Ctrl+Y.

  6. To add new list items, do one of the following:

    • To add a new list item from scratch, press the Tab key until you hear: "Add new item." The focus is on the first field for the new item, and you hear the column header. Enter the value, press the Tab key to move to the next field, and then enter the value for the next field. Fill in the values for each field as needed. To add another new item, repeat this step.

    • To add a new list item by copying an existing one, navigate to the list item you want to copy, and then press Shift+Tab until with Narrator you hear "Column header, selection column" or "Select row button." With JAWS, there is no audio cue. With NVDA, you hear "Selection column," followed by the row and column number. The focus is in the first column of the row, on the Select row checkbox. Press Enter to select the row, and then press Ctrl+C to copy. Press the Tab key until you hear "Add new item," and then press Ctrl+V to paste. Update the new list item as needed.

  7. When you’re done, press the Tab key once to move the focus out of the last field you edited. The changes you make in the grid view are saved automatically when you move away from the field you just edited.

  8. Press Esc. With Narrator, you hear: "Exit table, edit grid table." With JAWS and NVDA, you hear: "Edit grid table."

Note: If you hear "Would you like to discard your changes to this row" with Narrator or NVDA, or "No button" with JAWS, the changes were not saved yet. Press the Tab key until you hear "No," and then press Enter. Press the Tab key to move to a different field in the grid view, and then press Esc again.

  9. Press Shift+Tab three times. With Narrator, you hear "Command bar," followed by the command in focus. With JAWS, you hear: "Menu, command bar menu." With NVDA, you hear one of the options on the command bar, for example, "Undo, three of nine."

  10. Press the Left or Right arrow key until you hear "Exit grid view," and then press Enter.

Delete a list item

  1. Select the list that contains the list item you want to delete.

  2. Press the Tab key until you hear: "List of folders, files, or items."

  3. With Narrator, turn off the scan mode.

  4. Press the Tab key once. You hear the first list item. Press the Down or Up arrow key until you hear the list item you want to delete, and then press Delete.

  5. A confirmation dialog box opens. To confirm the deletion, press the Tab key until you hear "Delete," and then press Enter.
