This article is for people who use a screen reader program such as Windows Narrator, JAWS, or NVDA with Microsoft 365 products. Use Microsoft Lists with your keyboard and a screen reader to share lists and list items. We have tested it with Narrator, JAWS, and NVDA, but it might work with other screen readers as long as they follow common accessibility standards and techniques.

Share a list

  1. Open the list you want to share.

  2. Do one of the following:

    • With Narrator, press the Tab key until you hear "Command bar, new," and then press the SR key+Right arrow key once. You hear: "Share."

    • With JAWS, press the Tab key until you hear "Command bar, new," and then press the Right arrow key once. You hear: "Share."

    • With NVDA, press the Tab key until you hear "New, create a new list item in this location," and then press the Right arrow key once. You hear: "Share."

  3. Press Enter. You hear: "Share dialog."

  4. Press the Tab key until you hear "Sharing settings," and then press Enter to open the Sharing settings dialog box. To change whether you want to share the list with everyone with access to the link, only people inside your organization, reshare the list with people who already have prior access, or share it only with the named addresses, press the Up or Down arrow key until you hear the option you want, and then press Enter.

  5. To choose what level of access to view and edit the list is given to users you share it with, do one of the following:

    • With JAWS and NVDA, press the Tab key until you hear "Select a link permission," press Spacebar, select the permission you want with the Up and Down arrow keys, and then press Spacebar again to select the option. Finally, to close the Sharing settings dialog box, press the Tab key until you hear "Apply," and then press Enter.

    • With Narrator, press the Tab key until you hear "Select a link permission," press Spacebar once, press the SR key+Right or Left arrow key until you hear the permission you want, and then press Spacebar again to select the option. Finally, to close the Sharing settings dialog box, press the Tab key until you hear "Apply," and then press Enter.

  6. Press the Tab key until you hear: "Send to." Enter the name, group, or email address of who you want to share the list with. If you want to add multiple recipients, separate them by commas.

  7. To include a message with the shared link, press the Tab key until you hear "Message," and then enter your message.

  8. Press the Tab key until you hear "Send," and then press Enter to send the link to the list to the chosen recipients.

Share a list item

  1. Open the list you want to share an item from.

  2. Press the Tab key until you hear the item you want to share, and then press Spacebar. You hear: "Selected."

  3. Do one of the following:

    • With Narrator, press the Tab key until you hear "Command bar, new," and then press the SR key+Right arrow key until you hear: "Share."

    • With JAWS, press the Tab key until you hear "Command bar, new," and then press the Right arrow key until you hear: "Share."

    • With NVDA, press the Tab key until you hear "New, create a new list item in this location," and then press the Right arrow key until you hear: "Share."

  4. Press Enter. You hear: "Share dialog."

  5. Press the Tab key or Shift+Tab until you hear "Sharing settings," and then press Enter to open the Sharing settings dialog box. To change whether you want to share the list item with everyone with access to the link, only people inside your organization, reshare the list item with people who already have prior access, or share it only with the named addresses, press the Up or Down arrow key until you hear the option you want, and then press Enter.

Share a list item

  1. Open the Microsoft Teams channel that contains the list whose list item you want to share, press the Tab key until you hear "Posts," then press the Right arrow key until you hear the name of the tab that contains the list, and then press Return to open the tab.

  2. Press the Tab key until you hear "Edit grid table," then navigate the grid view by pressing the arrow keys until you hear the name of the list item you want to share, followed by "Show actions."

  3. Press Control+Option+Right arrow key once, then press Control+Option+Left arrow key until you hear "Share the selected item with other people," and then press Control+Option+Spacebar to open the Send link dialog box.

  4. You hear: "Share to." Enter the name, group, or email address of who you want to share the list item with. If you want to add multiple recipients, separate them by commas.

  5. To change the sharing settings, press Shift+Tab until you hear the currently selected access setting, followed by "Open to change access settings," and then press Control+Option+Spacebar.

  6. You hear "Share the link with," followed by the currently selected access setting. To change whether you want to share the list with everyone with access to the link, only people inside your organization, reshare the list with people who already have prior access, or share it only with the named addresses, press the Up or Down arrow key until you hear the option you want.

  7. To choose what level of access to view and edit the list item is given to users you share it with, press the Tab key until you hear "Select a link permission," press Control+Option+Spacebar to open the dropdown menu, press the Down arrow key until you hear the option you want, and then press Spacebar to select it.

  8. To apply the changes you've made to the access settings and link permissions, press the Tab key until you hear "Apply," and then press Return.

  9. To include a message with the shared link, press the Tab key until you hear "Add message," and then enter your message.

  10. Press the Tab key until you hear "Send," and then press Return to send the link to the list item to the chosen recipients.

Share a list

As you type, Microsoft Lists provides suggestions from your organization. To make use of them, explore the top half of the screen until you hear the one you want, and then double-tap the screen.

  8. To include a message with the shared link, swipe right until you hear "Message," and then use the on-screen keyboard to enter your message. When you're done, explore the top half of the screen until you hear "Message," and then double-tap the screen.

  9. Swipe right until you hear "Send," and then double-tap the screen to send the link to the list to the recipients.
